Important Information for Wednesday’s Away Meet at Lake of the Woods

Good afternoon, everyone!

We’re looking forward to another exciting away meet this season! This message contains all the key details you’ll need. If you have any questions after reading through it, please don’t hesitate to reach out to me via email or phone.


Meet Location:
Lake of the Woods
110 Sweetbriar Park Rd
Locust Grove, VA 22508

Please note that Lake of the Woods is a gated community. All visitors must enter through the Main Gate. When turning from Germanna Hwy, use the left guest lane to check in with security. For GPS directions, we recommend entering “LOW Front Gate” as your initial destination. After passing through the gate, turn right onto Lakeview Parkway and follow GPS directions or signs to Sweetbriar Park and the Community Center.


Parking:
There is an on-site parking lot. Please park only in marked spaces.


Warm-Ups:
Our team’s warm-up session is scheduled from 5:20 PM to 5:45 PM. Please plan to arrive by 5:10 PM so swimmers are ready to begin on time.


Meet Start Time:
The meet will begin promptly at 6:00 PM (fingers crossed!).


Team Area:
The visitor seating and setup area is located on the left side of the pool, near the ramp.

Note: The baby pool will be closed and off-limits during the meet.


Concessions:
Available for purchase: hamburgers, hot dogs, chips, drinks, and candy.
Payments accepted: Cash, Card, and Apple Pay.
Plus, the Kona Ice Truck will be onsite from 6:00–9:00 PM!


Volunteers:
Please check in with Jill Wallace as soon as you arrive.
There will be an Officials and Timers Meeting at 5:40 PM. All volunteers—including second-half timers and experienced timers—must attend. We’ll be using a new timing system, and it’s essential that everyone hears the instructions and understands the backup procedures.


Weather:
The forecast currently looks favorable, but conditions can change. Our goal is to complete the meet on Wednesday night. However, if delays occur due to weather, please clear the pool deck and remain nearby for updates. The rain date is scheduled for Saturday at 8:00 AM.


Helpful Tips:

  • Label your swimmer’s events on their arm, along with their name (on the arm or shoulder). This assists both swimmers and the Clerk of Course.
  • Board members and coaches are happy to help—especially if this is your first meet!
  • Items to bring: extra towels, sweatshirts/sweatpants (it can get chilly), chairs, sunscreen, Sharpies, and all swim gear.

Photography Policy Reminder:
For the safety and privacy of all athletes:

  • No photos or videos may be taken behind the starting blocks at any time.
  • Timers may not take photos while on duty.
  • No phone usage for photos/videos is permitted in restrooms, in accordance with Safe Sport policies.
    Violations will result in a request to delete the content.
